The Challenge

Disconnected Systems and Spreadsheet-Driven Scheduling Limited Growth

Before Coursedog, Weatherford ran academic operations across several disconnected systems, with course scheduling managed in spreadsheets. There was no unified view of buildings and spaces, which made it difficult to identify where new programs could fit or how existing space could be put to better use.

“Before Coursedog, everything lived in spreadsheets. Now our curriculum management, scheduling, syllabi, catalog, and website are all connected and talking to each other.”  - Shannon Ydoyaga, Executive Vice President & Chief Academic Officer

A Paper-Based Curriculum Process Created Risk and Slowed Down Change

Weatherford’s curriculum approval process was almost entirely manual. Proposals moved as paper documents between multiple offices and were entered by hand into the catalog. The same curriculum data had to be re-entered into multiple systems, which created errors and put months of work at risk every time an envelope changed hands. A single missed handoff could mean outdated programs in the catalog, inaccurate course information for advisors, and students planning their education around information that was no longer true.

“In the old curriculum process, paper documents would move from the curriculum committee to my office, then over to the registrar, who would manually enter everything into the catalog. At any given time, we had a stack of curriculum changes three inches high sitting on someone's desk. We were one lost inter-office envelope away from losing six months of work.” - Shannon Ydoyaga, Executive Vice President & Chief Academic Officer

The Solution

75% More Efficient: From Spreadsheets and Paper to a Connected Academic Operations Platform

With Coursedog, Weatherford’s scheduling, curriculum, syllabi, catalog, and college website are all connected. Curriculum changes flow directly from approval into the catalog, syllabi, and the SIS without requiring staff to re-enter the same information across multiple systems. . The integration between products made curriculum management and cross-department communication 75% more efficient. By reducing manual work and eliminating the need for constant double-checking, the Weatherford team can move updates forward faster and give  students, staff, and institutional leaders more reliable, accessible information when they need it.

“Coursedog has made the curriculum process about 75% more efficient. It talks to our SIS and connects directly with scheduling, syllabi, the catalog, and our website, so when a change comes through, we're not re-entering the same information in five different places.” - Shannon Ydoyaga, Executive Vice President & Chief Academic Officer

Smarter Use of Space Created 20 New Classes and $84,000 in New Annual Revenue

With Academic Scheduling and Event Scheduling working together, the Weatherford team can look across every building on campus to see where space is available, where it is underused, and where new programs or sections can fit. That visibility has translated directly into more class times for students, more program options and stronger use of campus capacity. For a student population made up largely of working adults, the ability to identify space for additional evening classes is especially important.

“We have 38% Full-time students and 62% Part-time students so making sure we have evening classes available is essential. With Coursedog's help, we've been able to add about 20 classes we wouldn't have been able to offer otherwise, which generates around $84,000 in revenue every year.” - Shannon Ydoyaga, Executive Vice President & Chief Academic Officer

A Catalog and Curriculum Experience Built for 35% Enrollment Growth and $1.8M in New Revenue

Weatherford uses Catalog & Handbook and Curriculum Management to give prospective students a clearer view of programs and pathways, while making it easier for faculty and staff to keep that information accurate as programs evolve. The combination of faster curriculum innovation, smarter use of space, and better-presented programs has been a meaningful contributor to enrollment growth.

“Coursedog has been a real partner in helping us keep up with this growth and attract more students. With Coursedog, we can look across all of our buildings and see exactly where we have space to optimize, where we can fit new programs, and how to expand our course offerings strategically. Over the last two years, our enrollment has grown 35%, which translates to about $9 million in additional revenue – and I'd confidently give Coursedog 20% of the credit for that, roughly $1.8 million.” - Shannon Ydoyaga, Executive Vice President & Chief Academic Officer

Looking Ahead

Weatherford recently rolled out Coursedog’s Syllabus Management, and while it's only been live for a month, the team expects it to make accreditatio  preparation more efficient by centralizing syllabus information and making documentation easier to access. With syllabus information centralized and consistent across every section, Weatherford can prepare for accreditation reviews more efficiently while reducing the risk of documentation gaps, fines, or returned state funding tied to compliance issues.

“We are anticipating that Coursedog Syllabus will make documentation prep for accreditation reviews more efficient as our syllabi are part of the review process. For example, colleges must prove that they are meeting required contract hours, i.e., that students spend a mandatory, documented amount of time in direct instruction, labs, etc., and syllabi are the documents used to confirm compliance.” - Shannon Ydoyaga, Executive Vice President & Chief Academic Officer

With better visibility into space, curriculum, scheduling, syllabi, and the catalog, Weatherford can continue making the most of every building, classroom, and time slot while adding the programs and class options students need to succeed.

“We’ve been able to use Coursedog to look at all of their buildings to see how available space could be optimized, and where new programs could be fit in. This allowed us to increase the number of sections offered and to add cutting edge new programs to meet growing population and industry needs.” - Shannon Ydoyaga, Executive Vice President & Chief Academic Officer
